How to answer guests fast without living on your phone

Guests write at every hour, on whatever app they booked with. Answering fast matters — for the booking you have not won yet, and for the review you will get later. It does not have to mean a phone that never leaves your hand.

Why speed matters

A guest asking about availability is often writing to several places at once, and the first useful answer tends to win the booking. A guest who has already booked asks practical things — the check-in time, the wifi, how to find you after dark — and a quick, clear answer is where a good stay begins. Many booking channels also measure how fast you reply.

The problem is not the number of messages

It is the number of places. WhatsApp on the front desk phone, the chat of each booking channel, an email inbox, perhaps Instagram. Each place has to be checked, each has its own app, and the question “did anyone answer the couple in room 4?” has nowhere to be answered.

Four habits make the biggest difference. Take them in this order.

1. One inbox for every conversation

Bring every guest conversation into one place, with the booking right next to it. When you open a message you should see who the guest is, which room, which dates and whether anything is unpaid — without switching app. And the team should see the same inbox, so the person on shift answers and everyone can see it is done.

Keep WhatsApp on your own number. Guests already have it, and it is how many of them want to reach you. A setup where the number keeps working on the front desk phone while the conversations also show on the computer means nobody has to choose.

One WhatsApp rule worth knowing: on the WhatsApp Business Platform you can reply freely for 24 hours after the guest’s last message. After that, only pre-approved template messages can go out, until the guest writes again.

2. Saved replies for the questions you answer every day

Read a week of messages and you will find the same ten questions. Write the answer to each one once, carefully, in each language your guests use: check-in and check-out times, directions, parking, breakfast, airport transfers, the cancellation policy. A good saved reply fills in the booking’s own details — the guest’s name, the dates, the balance — so it never reads like a form letter.

3. Answer before they ask

Many questions arrive because the information arrived too late. Send it before the guest needs it:

  • When they book: a confirmation with the dates, the total, what is still to pay and your terms.
  • The day before arrival: the check-in time, how to get there, and who to call in the evening.
  • During the stay: a short “is everything okay?” on the first morning catches a problem while you can still fix it.
  • At check-out: the balance, if there is one, and a thank-you.
  • After the stay: one request for a review — once, not three times.

Put the practical details — the wifi password, the house rules, breakfast hours, directions — on one page the guest can open from any message, instead of spreading them over five messages.

4. Drafts written for you, sent by you

AI can now write a good first draft of a reply. It reads the conversation, knows your hotel from what you have written about it, and can check whether the room the guest asks about is actually free. The rule that keeps it safe is simple: a person reads the draft and presses send. A wrong draft costs you ten seconds. A wrong message that went out on its own can cost you a guest.

Write like a person, not like a system

A fast answer still has to sound like your hotel. A few habits keep saved replies and drafts human:

  • Use the guest’s name, and answer the question first. The detail can follow; the answer should not be in the fourth line.
  • Answer in the guest’s language. A short reply in their language beats a long one in yours.
  • One message, one next step. End with what happens next — “your stay page has the map”, “we will have the boat ready at 8” — not with three open questions.
  • Keep it short on a phone. Two or three lines are read; a wall of text is skimmed.

A saved reply for the day before arrival might read: “Hi Ana, check-in is from 3 p.m. The last two kilometers are gravel, so take it slowly after the bridge — your stay page has the map. See you on Friday!” It took a minute to write once, and it answers four questions before they are asked.

Set office hours, even for a hotel

Being fast does not mean being instant at 2 a.m. Tell guests when someone answers, and how to reach you in an emergency. Split the shifts so one person owns the inbox at a time. With automatic messages and good saved replies, what is left in the inbox is small enough for that one person.

How Staywarden does it

In Staywarden, Booking.com and Airbnb chats land in one inbox with the booking beside them, on every plan, and your own reply templates in English and Spanish fill themselves in from the booking. On the Complete plan, WhatsApp on your own number joins the same inbox — and the number keeps working on your phone at the same time.

Complete also has six automatic messages: the confirmation, the day before, “everything okay?”, an extra night if one is free, check-out with the balance and a review request. They go out on WhatsApp and by email, and you switch on each one yourself. Guests get their own stay page with the dates, the balance, directions, the wifi and the house rules.

And when a guest writes, the Warden has a reply ready. It reads the whole conversation, knows your hotel in your own words and checks real availability and prices. You read it and press send. Every module is on the features page, bookings shows how each guest’s stay comes together, and the pricing page shows what each plan includes.
